Osler is currently recruiting for a Legal Assistant (Document Production) to join our Document Production/Pods department. We are looking for an energetic individual with the ability to pay strict attention to detail and to work as part of a collegial team to produce quality work under tight deadlines.

Major Responsibilities:

  • Provides administrative and clerical functions for lawyers, agents and clerks in the Intellectual Property Department which includes drafting, reviewing and finalizing correspondence; tracking upcoming deadlines and preparing reminders to clients; preparing documents for filing with CIPO, proofreading documents, tracking deadlines and generating reminders, scanning and saving correspondence and documents to the firm’s document management system, maintaining, filing and organizing physical and electronic files and records.

      •   Other duties as assigned

Position Requirements

Education and Experience

This position requires a college diploma in a Legal Assistant program or an equivalent level of administrative/clerical experience in a law firm or IP agent environment. Experience in the area of trademark or patent prosecution would be considered an asset.

Knowledge and Skills

  • Excellent multi-tasking skills, and the ability to succeed in a fast-paced environment
  • Strong client service, teamwork and communication skills
  • Exceptional technical skills (Adobe Pro & MS Office – Word, Excel & PowerPoint); able to troubleshoot (i.e. resolve corrupt or damaged documents)
  • Team player with a positive attitude
  • Highly detailed, with superior proofreading and organization skills
  • Self-motivated and able to work with minimal supervision
